Course overview

A desktop flow captured with the recorder works well on day one, but once it runs every day it breaks often. Window titles change, buttons on a web page move, some files will not open, or the flow hangs halfway without anyone noticing. When the organisation wants flows to run on schedule with nobody watching, it also has to think about which machines run them, how passwords are stored and how results are tracked.

This course takes people who already build desktop flows to production-grade RPA. Learners structure flows with subflows, build UI element selectors that survive change, automate multi-page browser tasks, handle data with datatables and JSON, and work with Excel, PDF, email and ERP-style desktop applications. They then add error handling, logging and secure handling of secrets, and trigger desktop flows from cloud flows in attended and unattended mode through machines and machine groups. The course closes with a capstone that builds an end-to-end RPA process. (2 days, 6 hours per day, 12 hours in total, Advanced level.)

Curriculum

Course Details

This course focuses on building desktop flows with Power Automate for desktop that are robust and ready for the enterprise. It runs for 2 days, 6 hours per day (12 hours in total, 09:00-16:00), as lectures with labs and workshops on sample web and desktop applications. Advanced level. It builds on Automating Excel with Power Automate for Desktop, which focuses on Excel, and

covers subflows, robust selectors, browser automation, datatables and JSON, PDF, email, ERP-style desktop apps, error handling, logging, handling secrets and triggering flows from cloud flows through machines and machine groups. Learners use a Windows laptop and their own or their organisation's accounts; the institute does not provide accounts or licences. Triggering from the cloud requires Power Automate Premium, and unattended runs require Power Automate Process.

Day 1 Robust Desktop Flows Across Every Application

Section 1: Designing RPA for Production

  • Choose processes worth automating, and consider APIs or cloud flows before the user interface
  • A Main, Initialize, Process and Cleanup structure built with subflows
  • Naming standards for variables and subflows, and comments a team can maintain
  • Lab: a template flow to start every project from

Section 2: Lab: Robust UI Elements and Selectors

  • The UI element repository, the selector builder and editing selectors by hand
  • Attributes to use and avoid, such as window titles that change with the file and index positions
  • Selectors with variables and operators, and multiple fallback selectors
  • Lab: a form-filling flow that still works when the window title changes

Section 3: Lab: Advanced Browser Automation

  • The Edge and Chrome browser extensions, and launching the browser ready for a flow
  • Extract data from web page for tables, lists and multiple pages
  • Fill web forms and dropdowns, upload and download files, and wait for pages to load
  • Lab: extract multi-page data from a sample web portal into Excel

Section 4: Lab: Datatables, Lists and Custom Objects

  • Insert, find, update and delete rows in a datatable
  • Convert JSON to a custom object and read nested data
  • Expressions inside %...% for calculations and formatting
  • Lab: combine web and Excel data and flag records that do not match

Section 5: Lab: Excel, PDF and Bulk Files

  • Advanced Excel: table ranges, Run Excel macro and closing files cleanly even after errors
  • Extract text and Extract tables from PDF, and merging PDF files
  • Read and write CSV files and archive processed files
  • Lab: read a folder of PDF invoices and summarise them in Excel

Section 6: Lab: Email and ERP-Style Desktop Apps

  • Read email, save attachments and send email through Outlook
  • Automate desktop apps with UI elements first, and the keyboard only when needed
  • Pitfalls of Send keys, coordinate clicks and screen resolution
  • Lab: enter purchase orders from email into a sample desktop app
Day 2 Reliability, Security and Running from the Cloud

Section 7: Lab: Production-Grade Error Handling

  • On block error and per-action On error settings such as retry and Go to label
  • Get last error and taking a screenshot when an error occurs
  • Design flows that move on to the next item when one item fails
  • Lab: a flow that skips bad records, logs the reason and finishes the run

Section 8: Lab: Logging, Debugging and Testing

  • Write run logs with timestamps and status to a file or a central table
  • Breakpoints, Run from here and inspecting variables during a run
  • Test with many cases, including badly formatted data
  • Lab: add logging and an end-of-run summary to an existing flow

Section 9: Handling Secrets and Credentials Securely

  • Sensitive variables and sensitive input variables that stay out of logs
  • Never hard-code passwords, and an overview of credentials backed by Azure Key Vault
  • Permissions for the account that runs the flow, and least privilege
  • Lab: move passwords out of a flow into sensitive inputs

Section 10: Lab: Triggering Desktop Flows from Cloud Flows

  • Register a machine and create a desktop flow connection
  • Pass input variables from a cloud flow and use the outputs that come back
  • Attended versus unattended, and which work suits each
  • Lab: a cloud flow that picks up a file from email and has a desktop flow process it

Section 11: Machine Groups, Unattended Runs and Monitoring

  • Machine groups, run queues and priority when several jobs arrive at once
  • Unattended requirements such as Windows sessions and screen resolution
  • Monitor desktop flow runs and alert when a run fails
  • Licences for attended and unattended runs, and an overview of hosted machines

Section 12: Workshop: End-to-End RPA Capstone

  • Pick real work that re-keys data between systems, such as invoices, purchase orders or daily reports
  • Build a desktop flow with subflows, robust selectors, error handling and logging
  • Trigger it from a cloud flow and report results through Teams or email
  • Present the work, review it together and wrap up with a pre-production checklist

Instructors

Frequently asked questions

How does this course differ from Automating Excel with Power Automate for Desktop?

This course builds on Automating Excel with Power Automate for Desktop, which teaches desktop flow basics with a focus on Excel. This course is about robust, organisation-wide RPA: selectors that survive change, multi-page browser automation, PDF, ERP-style desktop apps, error handling, logging, password handling and triggering flows from cloud flows through machine groups.

Which licences do I need, and does the institute provide them?

The institute does not provide accounts or licences. Building and running flows on your own machine works with Power Automate for desktop on Windows at no cost. Triggering from a cloud flow requires Power Automate Premium, and unattended runs require Power Automate Process, either your own or your organisation's. Without them, the instructor demonstrates those parts.

Can I attend with a Mac?

Power Automate for desktop runs on Windows 10 and 11, so you should bring a Windows laptop with permission to install software. Mac users need a Windows machine or a ready-to-use Windows virtual machine before the training day.

Will this work with our organisation's ERP system?

The labs use a sample desktop app that behaves like a typical ERP system, so you practise selector choice, waiting for screens and error handling that apply to most programs. Results with each real system depend on the technology behind it, so test with your own system before going live.

What is the difference between attended and unattended?

Attended flows run while a user is signed in to the machine and suit work a person starts or interacts with. Unattended flows sign in to Windows themselves and run with nobody watching; they need a machine with no active user session and a Process licence. The class explains the requirements and how to choose between them.

Does this course cover cloud flows?

Only the parts needed to trigger desktop flows and pass data in and out. For enterprise cloud flow design, such as solutions, Dataverse, custom connectors and pipelines, see Advanced Power Automate Cloud.
