Course overview

Many organisations have already switched on Copilot in Microsoft 365, yet plenty of staff ask it a few questions, get a vague answer and go back to working the old way. The problem is rarely the tool. It is not knowing what Copilot can do in each app, how to ask for exactly what you need, and where to be careful with company data.

This hands-on course is for staff in every department. It starts with the difference between Copilot Chat and the licensed Microsoft 365 Copilot and a prompt structure that works for any task. Learners then use Copilot to draft, summarise and change the tone of documents in Word, analyse data and build formulas in Excel, handle email in Outlook, recap meetings in Teams and create slides in PowerPoint. The day closes with safe use in the organisation and a workshop on the learners' own work. (1 day, 6 hours, Beginner level.)

Curriculum

Course Details

A 1-day, 6-hour hands-on course (09:00-16:00) at Beginner level for staff in every department who use Microsoft 365 at work. Learners use their own organisation's work account and licence; the institute does not provide licences. An account with Copilot Chat only can still practise prompting, working with files, Copilot Pages and Outlook, and the instructor demonstrates topics that need a licence. This is the 1-day, all-staff essentials course and does not cover building agents or Copilot Studio. For more depth and agent building, continue with Microsoft 365 Copilot and Copilot Studio; administrators can continue with Microsoft 365 Copilot and Agent Administration. Learners take home the course handbook, practice files, a prompt library for each app and a safe-use checklist.

Day 1: Using Copilot for Everyday Work in Microsoft 365

Section 1 Getting to Know Copilot in Microsoft 365
  • Copilot Chat with a work account compared with the licensed Microsoft 365 Copilot
  • What Copilot uses to answer: web content, files you attach and work data you already have permission to see
  • Check the label under your name and the green shield to see what your account can use
  • A brief look at agents such as Researcher and Analyst, and where to learn more
  • Lab: sign in to Copilot Chat with your work account, ask a first question and explore the interface
Section 2 Lab: Writing Prompts That Work First Time
  • A four-part prompt: goal, context, source and expectations for the result
  • Spell out format, length, tone and audience
  • Follow up to refine an answer instead of starting again each time
  • Lab: write the same request as a short prompt and as a full four-part prompt, then compare the results
Section 3 Lab: Working with Files and Copilot Pages
  • Attach a file or type / to reference a file in OneDrive or SharePoint
  • Summarise, compare and pull key points from several documents
  • Move an answer into Copilot Pages to refine it with your team and share it
  • Lab: turn a sample policy document into an employee FAQ in Copilot Pages
Section 4 Lab: Copilot in Word for Drafting, Summarising and Tone
  • Draft a new document from a prompt or from existing files such as meeting notes and outlines
  • Summarise long documents and ask questions about the content, checking the referenced passages
  • Rewrite to be shorter, more formal or better suited to a different audience
  • Lab: turn brief notes into a staff announcement, then rewrite it in a different tone
Section 5 Lab: Copilot in Excel for Data Analysis and Formulas
  • Prepare data so Copilot works well: format it as a table with clear headers and no merged cells
  • Ask about trends, outliers and group summaries, and create PivotTables and charts
  • Have Copilot build formulas and calculated columns and explain how each formula works
  • Always check the numbers, and see how Copilot can use Python for deeper analysis
  • Lab: analyse sample sales data, build a commission formula and write a three-point summary
Section 6 Lab: Copilot in Outlook for Email and Calendar
  • Summarise long email threads and attachments to catch up quickly
  • Draft emails and replies with a set tone and length, and always edit before sending
  • Get feedback on the tone and clarity of emails you wrote yourself
  • Ask Copilot about your inbox and calendar, such as open items and meeting preparation
  • Lab: summarise a sample thread and draft a reply that lists tasks and due dates
Section 7 Lab: Copilot in Teams for Meetings and Chats
  • Ask Copilot during a meeting to catch up on points you missed
  • Recap decisions and action items after the meeting, which needs transcription turned on
  • Summarise long chats and channels and draft replies
  • Etiquette and telling participants when a meeting is recorded or transcribed
  • Lab: from a sample meeting transcript, summarise decisions and send the action list to the team
Section 8 Lab: Copilot in PowerPoint for Presentations
  • Create slides from a prompt or from an existing Word or PDF file
  • Start from your organisation's template so slides match the house style
  • Add slides, reorganise content, summarise a deck and draft speaker notes
  • Lab: turn a Word report into a 6 to 8 slide presentation and polish it for use
Section 9 Using Copilot Safely at Work
  • Enterprise data protection: prompts and responses are not used to train the models, and the green shield shows it is on
  • Copilot only sees data you have permission to access, so oversharing files is the real risk
  • Sensitivity labels and company data policies, and how they affect what Copilot can do with a file
  • Check facts, figures and sources before use, and stay accountable for what you send
  • Personal data under Thailand's PDPA, and never pasting confidential data into consumer AI tools on a personal account
Section 10 Workshop: Your Own Tasks and Prompt Library
  • Workshop: pick 2 or 3 of your regular tasks and complete them end to end with Copilot
  • Save the prompts that worked as a personal prompt library to reuse
  • Simple measurement: time taken and what you still had to fix yourself
  • Plan how to use Copilot in your team, and next steps for agents and administration

Frequently asked questions

How does this course differ from Microsoft 365 Copilot and Copilot Studio and from Microsoft 365 Copilot and Agent Administration?

This is a 1-day course for everyday staff. It focuses on using Copilot in daily work in Word, Excel, PowerPoint, Outlook and Teams, together with prompting and safe use, and does not cover building agents or Copilot Studio. Microsoft 365 Copilot and Copilot Studio is a 2-day course that goes deeper into every app and adds building agents with Copilot Studio. Microsoft 365 Copilot and Agent Administration is for administrators who manage licences, data permissions and agents for the organisation.

Do I need a Microsoft 365 Copilot licence, and does the institute provide one?

The institute does not provide licences. Learners use their own organisation's work account and licence. At a minimum you should be able to use Copilot Chat, which is included with eligible Microsoft 365 business and enterprise plans at no extra cost. If your organisation has Microsoft 365 Copilot licences, you can practise every in-app topic. Please check with your IT team before the training day to see what your account can use.

What can I practise if I only have Copilot Chat?

Quite a lot. You can practise prompting, summarising, comparing and drafting from files you upload or reference, Copilot Pages, and Copilot in Outlook, which can summarise email and answer some questions about your inbox and calendar. The full Copilot experience in Word, Excel and PowerPoint and meeting recaps in Teams depend on your organisation's licences and settings. Where your account cannot use a feature, the instructor demonstrates it and you can still practise the same prompts in Copilot Chat.

Is data I enter into Copilot safe, and can I use real work files during the training?

When you use a work account with enterprise data protection, shown by the green shield, Microsoft states that prompts and responses are not used to train the models and that Copilot only sees data you already have permission to access. During the course we still recommend the sample files provided by the institute, or files with no confidential or personal data, and you should always follow your organisation's data policies and Thailand's PDPA.

Why do some menus or names in my account look different from the course?

Microsoft changes Copilot names and screens often. For example, it is renaming Microsoft 365 Copilot to Microsoft Copilot, and the features you see also depend on your licence, your administrator's settings and which app or version you use. The instructor teaches from the latest screens on the training day and focuses on ways of working and prompt structures that still apply when menus change.

What background do I need, and can the course be run in-house?

You should be comfortable using Word, Excel, PowerPoint, Outlook and Teams in daily work. No AI or programming background is needed. The course can be run in-house with practice tasks adapted to each department's work, and you can request a quotation.
