Course Details
An in-house hands-on workshop, 2 days, 6 hours per day (12 hours in total), 40% lecture and 60% practice, using Visio Plan 2 (Microsoft 365) with both the latest Visio Desktop App and Visio for the web. The course accommodates mixed-level learners: Day 1 builds the fundamentals systematically with shortcut techniques for existing users, and Day 2 covers applied content rarely found in general Visio courses, with workshops spanning IT, Process/QA/ISO and engineering/factory work (recommended up to 20 people per class).
Day 1: Visio Plan 2 Fundamentals, Professional Diagramming and Process Mapping
Section 1: Getting to Know Visio Plan 2 on Microsoft 365 and Planning Its Use
- What Visio is and the problems it solves for organizations
- Comparing packages: Visio in Microsoft 365, Visio Plan 1, Visio Plan 2, Visio Standard 2024 and Visio Professional 2024
- Plan 2-only features: Data Visualizer, Data Link, export to Word, Slide Snippet, Visio Visual in Power BI and DWG import
- The difference between the Visio Desktop App and Visio for the web, licensing (install on 5 devices) and the library of over 250,000 ready-made shapes
Section 2: The Interface and Techniques to Draw Diagrams Many Times Faster
- The workspace: Ribbon, Shapes Window, Drawing Page and Task Panes, and choosing the right template for the job
- Shapes and stencils: finding shapes, opening additional stencils and creating favorites
- Speed techniques: AutoConnect, Quick Shapes, continuous drag-and-drop and essential shortcuts
- Managing connectors (Dynamic Connector, Connection Points, Glue), layout with Align, Distribute, Snap & Glue, and formatting with Themes, Variants and Format Painter
- Handling Thai fonts correctly, and using Containers and Callouts
Section 3: Page Layout, Drawing Standards and Preparing Production-Ready Files
- Page setup, working with multiple pages and linking with hyperlinks
- Background Pages, Borders & Titles and Layers for headers, logos and controlling the display/printing of each data layer
- Shape Data to annotate shapes, and creating Reports summarized as tables
- Exporting to PDF, PNG, JPG, SVG and saving organization templates (.vstx) and personal stencils (.vssx)
- Mini workshop: build a standard organization header template with logo and document frame
Section 4: Flowchart, Cross-functional Flowchart and BPMN 2.0
- Principles of good process mapping, the meaning of standard symbols and common mistakes
- Building Basic and Cross-functional Flowcharts (swimlane), dividing lanes by function, adding phases and using subprocesses
- Using the BPMN 2.0 template: Event, Activity, Gateway, Pool and Lane
- Checking with Diagram Validation and applying process flows as ISO quality-system documents and work instructions
Section 5: Workshop 1 - Build a Process Map of Real Organizational Work
- Choose a real process from your own unit, such as purchase approval, IT incident intake or quality inspection
- Analyze and scope it, identify stakeholders, then build a cross-functional flowchart with decisions and subprocesses
- Format it with the theme and header template you created, validate with Diagram Validation and export to PDF
- Give a short presentation and receive feedback from the instructor and peers
Day 2: Data-Linked Diagrams, Specialized Work and Collaboration on Microsoft 365
Section 6: Data Visualizer - Build Diagrams Automatically from Excel Data
- The Data Visualizer concept and why it saves enormous time for processes with dozens of steps
- The Excel table structure required: Process Step ID, Description, Next Step ID, Connector Label and Function/Phase
- Building diagrams from Data Visualizer templates: Basic Flowchart, Cross-functional Flowchart and Audit Diagram
- Two-way sync - edit in Excel and refresh into Visio, edit in Visio and update back to Excel - and fixing common issues
- Workshop: turn an Excel step table into a cross-functional flowchart in minutes, then edit and sync back
Section 7: Data Link and Data Graphics - Make Diagrams Show Real Data
- The difference between Data Visualizer and Data Link, and connecting to Excel, SharePoint List, SQL Server and OLEDB/ODBC
- Using the External Data Window, linking data automatically and manually, and setting a unique identifier
- Data Graphics: Text Callout, Data Bar, Icon Set and Color by Value to communicate status instantly, plus building a legend
- Refreshing data and auto-refresh, plus a workshop: link an Excel equipment register to a diagram and show status with Data Graphics
Section 8: Specialized IT Diagrams and System Analysis
- Network Diagram and Rack Diagram: topology, arranging devices by U and adding IP/Hostname via Shape Data
- Cloud architecture diagrams and UML 2.5 (Use Case, Class, Sequence, Activity Diagram)
- Database Model Diagram (ERD): tables, relationships, primary/foreign keys and schema documentation
- Organization Chart from Excel employee data with the Org Chart Wizard, plus Timeline and Gantt Chart
Section 9: Scaled Drawing and Working with AutoCAD Files
- The Scaled Drawing concept, setting the drawing scale and units, and building floor plans with dimension lines
- An overview of engineering templates such as electrical diagrams, P&ID and production process diagrams
- Importing AutoCAD (DWG) files into Visio (up to DWG 2013), setting scale and placing smart shapes over the drawing
- Workshop: import a floor plan, place equipment and attach Shape Data for maintenance work
Section 10: Collaboration and Integration with Microsoft 365
- Storing files on OneDrive for Business and SharePoint Online, and using Visio for the web
- Real-time co-authoring, shape-level Comments and working with Visio files in Microsoft Teams
- Export to Word, create Slide Snippets for PowerPoint, and embed diagrams in Power BI with Visio Visual
- Security and governance: Sensitivity Label, IRM, Version History, GDPR/PDPA considerations and the Accessibility Checker
Section 11: Capstone Project and Setting a Visio Standard for the Organization
- Build a complete set of diagram documents for your own unit, choosing a task by discipline (IT: network diagram + Data Link, Process/QA: cross-functional flowchart from Data Visualizer, engineering: scaled layout plan)
- Use the standard templates and stencils built on Day 1, store on OneDrive or SharePoint and open it for teammates to comment
- Export to PDF, create a presentation with Slide Snippet and present the work together
- Guidelines for standardizing Visio in the organization: file naming, folder structure, version control and appointing a central template owner
