Course overview

Many system projects do not fail because of technology. They fail because the team and the client understood the requirements differently. Clients often describe their problem mixed with a solution they have already decided on, and requirement documents are often broad statements that nobody can test. The result is scope that keeps growing, rework after delivery and disputes at acceptance, and for a system integrator building for external clients every one of those is a cost it has to absorb.

This course lays the foundations of business requirements work for both BAs and SAs. Learners practise stakeholder analysis, choose elicitation techniques, interview a client in a role-play, and turn what they hear into a short BRD, user stories with acceptance criteria, BPMN diagrams and a traceability matrix that the client can sign off and the development team can use straight away. The whole day is one continuous workshop on the HR System Project case, and the work produced feeds into Data Analysis & Modeling for BA/SA (BASA-01). (1 day, 6 hours, Beginner level.)

Curriculum

Course Details

A 1-day, 6-hour course (09:00-16:00) run as one continuous workshop on the HR System Project case, at Beginner level with no programming needed. It uses draw.io, Miro or FigJam, and templates in Word / Google Docs and Excel / Google Sheets. Learners use their own or company accounts for Miro, FigJam and the AI assistant. This is a 1-day course focused on working with external clients as a system integrator and the first day of the BASA series, unlike Business Analysis and Requirements Engineering, which covers the full BA lifecycle over 2 days. Learners take home templates for a short BRD, user stories and a traceability matrix, plus their workshop outputs.

Day 1: Gathering Requirements Fully and Writing Testable Requirements

Section 1 The BA/SA Role and the Requirements Lifecycle in SI Projects
  • BA/SA work during presales and kick-off
  • Work during analysis and design through to UAT and go-live
  • The cost of wrong or missing requirements and their effect on scope, time and budget
  • Common deliverables: how a BRD, SRS / FRS, user stories and a traceability matrix differ
Section 2 Lab: Stakeholder Analysis
  • Stakeholder analysis with a power / interest grid
  • Defining roles and responsibilities with RACI
  • Identifying the decision makers and key users of the project
  • Lab: build a stakeholder map for the HR System Project in Miro or FigJam
Section 3 Types of Requirements
  • Requirement types in BABOK: business and stakeholder requirements
  • Solution requirements: functional and non-functional
  • Transition requirements for the move to the new system
  • Separating the problem from the solution the client already has in mind to find the real need
Section 4 Lab: Elicitation Techniques
  • Interviews, requirement workshops, observation, document analysis and questionnaires: when to use each
  • Preparing questions with 5W1H and the 5 Whys
  • Questions about special cases and exceptions that are often missed
  • Taking notes and confirming understanding with the client (meeting minutes and playback)
  • Lab: prepare interview questions for HR about the leave and approval process
Section 5 Morning Workshop: Role-play Client Interview
  • Workshop: interview the client's HR team about the leave and approval process
  • Take turns as interviewer and client to see for yourself what gets missed
  • Summarise the interview notes, separating problems, needs, client-proposed solutions and constraints
  • All data is simulated and has no connection to real employee data of any organisation
Section 6 Lab: A Short BRD and User Stories
  • Structure of a short BRD: goals and scope (in scope and out of scope)
  • Assumptions and constraints the client needs to see in writing
  • User stories in the As a / I want / So that format
  • The INVEST criteria for checking user story quality
  • Lab: write user stories from the morning interview notes
Section 7 Lab: Acceptance Criteria and Business Rules
  • Given / When / Then acceptance criteria that testers can use
  • Characteristics of good requirements in ISO/IEC/IEEE 29148
  • Business rules that should be recorded separately and clearly
  • Basic non-functional requirements such as security and personal data under PDPA
  • Lab: write acceptance criteria for your own user stories
Section 8 Lab: Process Diagrams with BPMN
  • Common BPMN 2.0 symbols: event, activity, gateway, pool and lane
  • Drawing as-is against to-be to show pain points and gaps in the current process
  • Using diagrams to confirm understanding with the client
  • Lab: draw as-is and to-be BPMN diagrams of the leave and approval process in draw.io
Section 9 Prioritisation, Change Control and Sign-off
  • Prioritising with MoSCoW and negotiating scope with the client
  • A requirements traceability matrix linking requirements to design and test cases
  • Change requests, scope creep and the sign-off process
  • Using AI to draft user stories and acceptance criteria, with care over review and client data
  • Lab: have AI draft user stories, then review them for completeness and accuracy
Section 10 Master Workshop: A Requirements Package for Sign-off
  • Workshop: turn the morning notes into a short BRD
  • Write user stories with acceptance criteria and draw the to-be BPMN of the leave and approval process
  • Prioritise with MoSCoW and build an initial traceability matrix
  • Present to the group playing the client to request sign-off
  • The work produced carries on into Data Analysis & Modeling for BA/SA (BASA-01)
