ChatGPT has become a tool many people open every working day, yet most still use it one question at a time. Today it can read files, analyze data, produce Word, Excel and PowerPoint files, connect to email and calendars, carry out in-depth research and run tasks on a schedule. What separates people who get useful results from those who keep rewriting is how they brief it, which capability they pick for the job, and how they check the output before using it.
This course is a full day of workshops built around one running case study, a monthly performance report. Learners start with a structured prompt framework, then summarize documents into a Word file, analyze data and export it to Excel, and build a PowerPoint deck. In the afternoon they connect Gmail and Google Calendar to triage email and plan the week, use Deep Research, build a Custom GPT, set up Custom Instructions and Memory, and schedule automated tasks. The day closes with a real work challenge and a personal AI work plan with risk controls. (1 day, 6 hours, Beginner level.)

Curriculum
Course Details
A 1-day, 6-hour course (09:00-16:00) run as hands-on workshops all day, following one monthly performance report case study through every topic. Beginner level, no programming background needed. Learners use their own ChatGPT account; a paid plan is recommended because features such as app connections, Deep Research, Custom GPTs and Scheduled Tasks require one. A Gmail and Google Calendar account is needed for the workshops. Learners take home a workbook, the prompt framework, prompt templates, sample data files, the Word, Excel and PowerPoint files they build in class, at least one Custom GPT, one scheduled task, a quality checklist and a personal AI work plan.
Day 1: ChatGPT as a Work Assistant, from Documents to Automated Tasks
Section 1Generative AI and ChatGPT Overview
The generative AI landscape and how chatbots, copilots and AI agents differ
What ChatGPT can do: read files, analyze data, connect apps, research, Custom GPTs and scheduled tasks
Strengths, limits and hallucination, and the human-in-the-loop principle
Introducing the case study used all day: a monthly performance report
Section 2Workshop: Prompting for Work
A framework: goal, context, input, constraints, output format and quality check
Structured versus unstructured prompts, and setting role, audience, tone and length
Refining answers iteratively instead of starting over every time
Workshop: build a library of prompt templates for your own work
Section 3Workshop: Documents to a Word File
Upload PDF and Word files and extract the key points
Summarize into an executive brief and make line-by-line edits in Canvas
Compare content across several documents
Workshop: export a Word file and check the document formatting
Section 4Workshop: Data Analysis and an Excel File
Upload an Excel or CSV file and explain what each column means
Check for blanks, duplicates and outliers before analyzing
Find statistics and trends, and build tables and charts
Workshop: export a multi-sheet Excel file and verify the formulas
Section 5Workshop: Building PowerPoint Slides
Design the slide structure first, with the audience and time slot in mind
Bring in charts from the data workshop and add speaker notes
Edit a single slide without regenerating the deck, and formatting limitations
Section 6Workshop: Connecting Gmail and Google Calendar
App connections, permission scope, read-only versus taking action, approvals and organizational data policy
Gmail: triage the last 24 hours of email by urgency and consolidate related threads
Summarize action items with owners and deadlines, then draft replies in the right tone and check before sending
Calendar: review density and conflicts, protect focus time and prepare meeting agendas
Workshop: combine calendar and email into a weekly plan with three priorities and the reasons for them
Workshop: draft meeting requests and follow-up emails from the plan
Section 7Workshop: Search and Deep Research
How regular search differs from Deep Research, and when to use each
Set the scope, time period, geography and industry, then review the research plan before it runs
Check sources, dates and credibility, and separate fact, opinion and AI inference
Workshop: reconcile conflicting sources and add the findings to the morning's deliverables
Section 8Workshop: Building a Custom GPT
Pick a recurring task and turn an SOP into instructions: role, scope, steps and output format
Upload reference files and set constraints and working conditions
Tell it to ask back when information is missing and to name the reference files it used
Workshop: test with real data, refine, and share with the team
Section 9Workshop: Custom Instructions, Memory and Scheduled Tasks
Set your role, default language, tone, length, format and things to avoid, then test before and after
Review, edit and delete memory, decide what to keep, and group conversations by task to avoid context bleed
Tasks that suit scheduling, and setting the output format and notifications
Managing the task list, limitations, and human review for sensitive work
Workshop: schedule a Monday-morning email and calendar summary, then run it now to test
Section 10Work Challenge and Responsible AI
Workshop: pick a real work scenario, run it end to end into multi-format output, and share techniques
Summarize what worked for each group and add it to the prompt template library
Checklist: verification, sensitive data, accountability, fairness and explainability
Personal AI plan: one task to try within 7 days and one recurring task for a Custom GPT or scheduled task
Keep templates, measure before and after, set risk controls, and name a reviewer
