Course overview

A great deal of office time still goes on gathering figures, building tables and charts, writing reports and preparing management slides every month, even though today's AI tools can analyse data and create Office files directly. Most users still get results that miss the mark, because their instructions are vague, they do not know how to check the answers and they cannot specify an output format that is ready to use.

This course shows learners how to use the Claude free plan from start to finish: uploading data files, checking and cleaning the data, analysing results, trends and basic probabilities, then having AI create Excel, Word and PowerPoint files that can be downloaded and edited in desktop Microsoft Office, with no need for Microsoft 365 Copilot. It closes with data storytelling techniques for reports and presentations that help managers decide quickly, all built around a fictional retailer, BrightMart. (2 days, 6 hours per day, 12 hours in total, Beginner level.)

Curriculum

Course Details

A 2-day, 6-hours-per-day hands-on course (09:00-16:00) at Beginner level for office staff who produce reports and slides regularly. Every workshop uses the learner's own Claude free plan account with desktop Microsoft Office. Microsoft 365 Copilot is not needed, and the Claude add-ins for Office are not used because they are not available on the free plan. Free plan usage limits reset periodically and may change, and menus follow the latest version

on the training day. Unlike Claude AI for Data Analyst, which is aimed at data analysts, and AI-Powered Presentations and Infographics, which focuses on presentation tools, this course takes office staff through the whole flow from raw data to an Excel file, a Word report and an executive deck, using a fictional retailer, BrightMart. Learners take home the course handbook, sample datasets, a prompt template library, checklists for AI output and slides, and the files built during the workshops.

Day 1 Data Analysis and Prompting for Office Files

Section 1: Lab: Getting Started with the Claude Free Plan for Office Work

  • What the Claude free plan offers: file upload, data analysis, and creating and editing Office files and PDFs

  • Turn on Code execution and file creation in Settings > Capabilities and use Projects to organise each piece of work

  • Usage limits that reset periodically, and why this course needs neither the Office add-ins nor Microsoft 365 Copilot

  • Lab: set up your account and create a Project for the BrightMart work

Section 2: Lab: Data Security and Responsible AI Use

  • Data you should not upload: personal data, ID numbers, customer records and confidential company information

  • Data masking and creating sample data before sending anything to AI

  • Hallucination and the principle that AI helps you think while people verify

  • Lab: mask sensitive columns in a sample file before uploading it

Section 3: Lab: Prompt Engineering for Data Work

  • Prompt structure: role, context, task, output format and constraints

  • Attach a data dictionary and ask the AI to check back when the data is unclear

  • Have the AI show its reasoning, formulas and assumptions so you can check them

  • Lab: write a reusable prompt template for sales analysis

Section 4: Lab: Checking and Summarising Data

  • Have AI check for blanks, duplicates and unusual date or number formats

  • Clean data with plain-language instructions and ask for a log of every change

  • Basic statistics: totals, averages, medians, minimum and maximum, and proportions

  • Lab: check and clean the BrightMart sales data

Section 5: Lab: Results, Trends and Basic Probability

  • Compare by branch, product category and period, with top and bottom rankings

  • Find trends with growth rates and moving averages, and forecast three scenarios

  • Estimate likelihood from historical data and tell correlation apart from cause and effect

  • Lab: find standout and problem branches and products, and forecast the next quarter

Section 6: Workshop: Having AI Create Excel, Word and PowerPoint Files

  • Excel: sheet names, columns, editable formulas, summary tables, charts and conditional formatting

  • Word: heading structure, length, Thai fonts, paper size and tables

  • PowerPoint: number of slides, slide titles, chart types and colour scheme

  • Check files after download, open them in desktop Office and fix Thai font issues

  • Workshop: produce an analysis workbook, a one-page Word summary and a three-slide summary deck for BrightMart

Day 2 Reporting and the Executive Presentation

Section 7: Lab: Writing Word Reports with AI

  • The report structure managers want: executive summary, findings, key issues and recommendations

  • Have AI write a report from the Excel file and existing summary, with tables and charts

  • Set the language, level of formality, length and heading style

  • Upload an existing Word file for AI to improve, restructure or shorten

  • Lab: draft the first version of the report from day one's analysis

Section 8: Lab: Presenting Data in Different Forms

  • Match the format to the data: tables, bar, line and pie charts, and KPIs

  • Design readable charts: cut clutter, highlight the message and use colour with purpose

  • Move content across formats, from Excel to Word and from Word to PowerPoint

  • Lab: have AI build a summary dashboard in Excel and tables for the report

Section 9: Workshop: Executive Storytelling with Data

  • The executive view: little time, conclusion first and recommendations they can act on

  • Structure the story with the Pyramid Principle and SCQA (Situation, Complication, Question, Answer)

  • Action titles and the one-slide, one-message rule

  • Workshop: choose 3-5 key numbers and draft the SCQA storyline for BrightMart

Section 10: Lab: Building Clear, Engaging PowerPoint Decks with AI

  • Workflow: have AI draft the storyline first, review and adjust, then create the file

  • Set colours, fonts, layouts and chart placement so the whole deck is consistent

  • Upload a company template or sample deck for AI to follow

  • Have AI write speaker notes and a key-message summary for the presenter

  • Lab: build the first version of the deck from your storyline

Section 11: Lab: Quality Checks and Presentation Rehearsal

  • A checklist for figures and consistency across the Excel file, the report and the slides

  • Have AI review the deck from a manager's point of view and suggest improvements

  • Simulate the questions managers are likely to ask and prepare answers with supporting data

  • Lab: build a prompt template library for monthly and quarterly reports

Section 12: Master Workshop: BrightMart Quarterly Business Review

  • Produce the complete Quarterly Business Review report in Word with an executive summary and recommendations

  • Build an 8-10 slide executive presentation with speaker notes using an SCQA storyline

  • Check every figure from the Excel file through to the slides

  • Rehearse the presentation, answer AI-simulated questions and receive feedback

How much does AI Office Reporting with Claude cost and how long does it run?
