Course Details

A 2-day course, 6 hours per day (12 hours in total), delivered as a hands-on workshop with a capstone project. Beginner to Intermediate level, no AI background required. Learners take home a prompt library for Google Workspace, their own Gem, and a security and PDPA checklist.

Day 1: Getting to Know Gemini and Using It for Daily Work on Google Workspace

Section 1: Getting to Know Google Gemini

  • What Google Gemini is and how it helps organizational work
  • The difference between the Gemini app and Gemini embedded in Google Workspace
  • A model overview and choosing the right one, and comparison with ChatGPT and Claude
  • Account and Google Workspace package requirements for organizational use

Section 2: Effective Prompts for Gemini

  • A good prompt structure: role, context, task, output format and constraints
  • Using multimodal data: text, images and attachments
  • Techniques to refine answers and prompt step by step
  • Building a personal prompt set for daily recurring work

Section 3: Gemini for Documents and Communication

  • Using Gemini in Google Docs: draft, summarize, refine tone and format documents
  • Using Gemini in Gmail: draft emails, reply and summarize long email threads
  • Setting the organization's tone of voice and communication standard
  • Cautions before sending real work: review and accuracy

Section 4: Gemini for Data and Spreadsheets (Google Sheets)

  • Using Deep Research to research and summarize in depth from multiple sources
  • Citing sources and checking credibility

Section 7: Building Specialized Assistants with Gems

  • What Gems are and how they differ from ordinary prompting
  • Building a Gem: setting role, instructions and supporting knowledge
  • Embedding organizational standards and rules into a Gem for consistent results, and sharing across the team
  • Workshop: build one Gem for a recurring task, such as a document-draft or report-summary assistant

Section 8: Gemini in Google Meet and Drive

  • Using Gemini in Google Meet to take and summarize meeting notes automatically
  • Q&A from files and documents in Google Drive
  • Searching and summarizing across organizational files, with access-rights and privacy cautions

Section 9: NotebookLM with Gemini

  • What NotebookLM is and how it suits research and document summarization
  • Building a notebook from your own documents and answering with source citations
  • Creating a study guide, summary and audio overview from a document set, and using NotebookLM alongside Gemini
  • Workshop: build a notebook from sample organizational documents and ask in-depth questions

  • Connecting work across apps, such as email to document or form to spreadsheet
  • Using AI to help build basic scripts and automation (Apps Script) without coding yourself

Section 11: Security, Data Privacy, PDPA and Capstone Project

  • What data should and should not go into AI and protecting personal data under PDPA
  • The difference between personal and organizational (Workspace) accounts and setting privacy safely
  • Capstone project: design an end-to-end Gemini workflow for the learner's routine work, then present and get feedback
