Course Details
A 2-day course, 6 hours per day (12 hours in total), delivered as a hands-on workshop with a capstone project. Beginner to Intermediate level, no AI background required. Learners take home an event prompt library, an event assistant (Custom GPT/Gem), proposal and run-of-show templates, and a data-accuracy and PDPA checklist.
Day 1: AI for Proposals, Content and Attendee Care
Section 1: AI in Event and MICE Work
- An overview of generative AI in event and MICE work and what changes in the process
- AI use cases: proposals, content, images, registration, attendee service and wrap-up
- Choosing the right AI tool and verifying schedule and event detail accuracy
Section 2: Prompts and Organizer Brand Tone
- A good prompt structure for event work: role, event type, attendee group and output format
- Setting a consistent brand tone and voice and using examples to keep writing and slide style consistent
- Building a prompt library for recurring work
Section 3: Proposals and Promotional Content
- Using AI to help write proposals, event concepts and themes
- Writing content, captions and promotional post plans for multiple channels
- Workshop: draft a proposal and a promotional content set with AI
Section 4: Images and Promotional Media with AI
- Using AI and Canva to create professional event images, key visuals, banners and promotional media
- Making images match the concept without misleading attendees, and preparing a media set for campaigns
- Workshop: design one key visual or promotional media piece with AI and Canva
Section 5: Registration and Attendee Service
- Using AI to help answer attendees, manage registration and give appropriate event information in multiple languages
- Building FAQ and service message sets and handling common questions before and during the event
- Workshop: prepare a service message set and FAQ for attendee care with AI
Day 2: Coordination, Assistants, Administration and Automation
Section 6: Coordination and Post-event Wrap-up
- Using AI to help build the run of show and coordination documents for teams and suppliers
- Wrapping up after the event, analyzing attendee feedback and preparing a wrap-up report
- Workshop: build a run of show or event wrap-up report with AI
Section 7: Chatbots and Event Assistants
- Building a Custom GPT or Gem as an assistant answering attendee questions on schedule, venue and registration
- Embedding event data and FAQ for consistent, on-brand results and connecting to LINE OA
- Workshop: build one event assistant to answer common questions
Section 8: Documents and Administration
- Using AI to help with documents, quotes and coordination
- Summarizing meetings and preparing basic operations reports
- Managing data and documents systematically, being careful with sensitive data
Section 9: Event Automation with n8n
- Setting up automation with n8n, such as registration confirmation, pre-event information and schedule reminders
- Requesting post-event feedback and connecting data across channels with access control
- Workshop: design one simple automation flow for the event
Section 10: Attendee Data, Accuracy and PDPA
- Controlling the accuracy of schedule, venue and event details before publishing
- Attendee and customer data to be careful with: what can and cannot go into AI
- Attendee personal data under PDPA and setting the team's AI usage guideline
Section 11: Capstone Project and Real-world Adoption
- Task: set up an end-to-end AI toolkit for the learner's event work, from proposals and content to attendee care, an assistant and wrap-up
- Present the work and get feedback from the instructor and peers
- A first-30-days adoption plan and setting up AI use for the whole team
