Course Details
A 2-day course, 6 hours per day (12 hours in total), delivered as a hands-on workshop with a capstone project. Beginner to Intermediate level, no AI background required. Learners take home an HR prompt library, an HR assistant (Custom GPT/Gem), job description, policy, onboarding document and meeting-minutes templates, and a PDPA checklist.
Day 1: AI in HR from Recruitment to Employee Communication
Section 1: AI in HR and Admin Work
- An overview of generative AI in HR and admin work and what changes in the process
- AI use cases in HR: recruitment, documents, communication, development and analysis
- Choosing the right AI tool for each task
- AI limits and a verification mindset for people-related work
Section 2: Effective Prompts for HR Work
- A good prompt structure for HR: role, context, audience and output format
- Setting a communication tone that fits the organizational culture and standard
- Using examples to keep document style consistent
- Building an HR team prompt library for recurring work
Section 3: Recruitment with AI
- Using AI to write attractive job descriptions and job postings
- Helping screen applications and summarize candidate resumes
- Preparing interview question sets and evaluation criteria
- Workshop: write a job description and interview question set for the learner's role
Section 4: Writing HR Documents and Policies with AI
- Drafting letters, announcements and internal circulars
- Drafting and improving policies, regulations and the employee handbook
- Creating HR forms and documents, with cautions on accuracy, formality and review
- Workshop: draft one HR policy or announcement with AI and tailor it to the organization
Section 5: Employee Communication and Onboarding
- Using AI to write announcements, news and internal communication
- Preparing onboarding documents and schedules for new employees
- Creating an FAQ on benefits and regulations, and communicating clearly to the right audience
- Workshop: prepare an onboarding document set and employee FAQ with AI
Day 2: Development, HR Data, Automation and PDPA
Section 6: Learning and Development with AI
- Using AI to create training content and learning materials
- Creating quizzes and learning assessments
- Designing learning paths by role and distilling knowledge for easy understanding
Section 7: HR Data and Survey Analysis
- Using AI to analyze basic HR data such as turnover and employee data
- Summarizing employee opinion and engagement surveys
- Preparing executive HR reports that support decisions, with cautions on interpretation
Section 8: HR Assistants and Automation
- Building a Custom GPT or Gem as an HR assistant answering employee questions on benefits and regulations
- Embedding policies and organizational data for consistent results shared across the team
- Automation with n8n, such as due-date reminders or summarizing employee requests
- Workshop: build one HR assistant to answer common employee questions
Section 9: Admin Work and Document Automation
- Using AI to summarize meetings and produce meeting minutes
- Helping with scheduling, appointments and planning routine work
- Managing documents, summarizing long documents, searching within documents, and standardizing repetitive document work
- Workshop: summarize a sample meeting and produce meeting minutes with AI
Section 10: PDPA and Protecting Employee Data
- Employee data is sensitive: what can and cannot go into AI
- Personal data under PDPA and handling it before entering AI
- Practices for safely storing, using and sharing employee data, and setting the team's AI usage guideline
Section 11: Capstone Project and Real-world Adoption
- Task: set up an end-to-end AI toolkit for the learner's HR and admin work, from recruitment and documents to communication and an HR assistant
- Present the work and get feedback from the instructor and peers
- A first-30-days adoption plan and setting up AI use for the whole HR and admin team
