Course overview

Every organisation keeps its knowledge in manuals, reports, slide decks and meeting notes, yet finding an answer still means opening one file after another. Meanwhile everyday work such as repair requests, equipment checks and approvals still runs on paper, group chats and spreadsheets that several people edit at once until nobody trusts the numbers. Two Google tools close this gap without any code: NotebookLM for managing knowledge, and AppSheet for turning spreadsheets into working apps.

On the first day learners use NotebookLM to build a knowledge base from their team's documents, ask questions and check every answer against its cited source, summarise material as reports, mind maps, flashcards and quizzes, create Audio and Video Overviews, and share notebooks safely in Google Workspace. On the second day they build an AppSheet app from Google Sheets, covering the data model, views and field data collection forms, actions, automation bots and user permissions, then install it on a phone. The course closes with a project that uses both tools together. (2 days, 6 hours per day, 12 hours in total, Beginner level.)

Curriculum

Course Details

This course runs for 2 days, 6 hours per day (12 hours in total, 09:00-16:00), as lectures with a lab in every topic. Beginner level, with no programming background required. Day one covers NotebookLM for managing knowledge from the team's documents, and day two covers AppSheet for building working apps from Google Sheets. All labs use a fictional organisation's data, so learners do not need to bring real company documents. Some capabilities, such as creating apps with Gemini or AI tasks in AppSheet, depend on the organisation's plan. Learners take home a lab guide, sample documents, starter Google Sheets and the apps they build during the course.

Day 1 Managing Knowledge with NotebookLM

Section 1: Lab: Getting Started with NotebookLM

  • How NotebookLM differs from a general AI chat, and which tasks it suits

  • The Sources, Chat and Studio panels, and creating your first notebook

  • Structuring notebooks around the work: by project, topic or department

  • Lab: build an employee handbook notebook from sample policy documents

Section 2: Managing Sources

  • Add sources from PDFs, Google Docs, Google Slides, websites, YouTube and pasted text

  • Find further sources on the web from within NotebookLM and vet them before importing

  • Switch sources on or off to scope the answers, and refresh them when the originals change

  • Lab: combine reports, slides and video clips into a team knowledge base

Section 3: Lab: Grounded Q&A with Citations

  • Ask questions that get clear answers, and follow each citation back to the original text

  • Compare and summarise several documents and spot where they contradict each other

  • Adjust the role and length of answers, and save important answers as notes

  • The limits of the answers, and how to check accuracy before relying on them

Section 4: Summarising Knowledge with Studio

  • Create reports such as briefing docs and study guides focused on the points you need

  • Mind maps for an overview of the topics, and data tables that pull facts into rows and columns

  • Flashcards and quizzes for revision and for onboarding new staff

  • Workshop: produce a summary pack and a quiz from a work manual

Section 5: Audio and Video Overviews and Presentation Material

  • Conversational Audio Overviews: choose the format, length, language and focus

  • Join the conversation with questions in interactive mode

  • Video Overviews as narrated slides

  • Slide decks and infographics to brief managers or the team

  • Lab: turn one notebook into an audio, video and slide summary of a project

Section 6: Sharing Notebooks and Data Security

  • Share notebooks with colleagues as viewers or editors

  • NotebookLM in Google Workspace: data protection and the administrator's role

  • What should and should not be uploaded, and handling personal data under the PDPA

  • Workshop: draft guidelines for using NotebookLM in your own department

Day 2 Building Working Apps with AppSheet

Section 7: Lab: Getting Started with AppSheet from Google Sheets

  • What AppSheet is, which jobs suit a no-code app, and a tour of the editor

  • Prepare Google Sheets properly: one sheet per table, clear headers and a key column

  • Create an app from Google Sheets or let Gemini draft the app structure from a description (where your account supports it)

  • Lab: build a repair request app and test it in the preview

Section 8: Data Model: Tables, Columns and Relationships

  • Common column types: Text, Number, Date, Enum, Image, LatLong and Ref

  • Set the key, label, initial value, Valid If and Required

  • Basic expressions such as IF, LOOKUP, SELECT and USEREMAIL, plus virtual columns

  • Lab: link equipment, owner and repair history tables with Ref columns

Section 9: Lab: Views and Field Data Collection Forms

  • Choose the right view: Deck, Table, Gallery, Detail, Calendar, Map and Dashboard

  • Mobile-friendly forms with photos, signatures, GPS location and barcode scanning

  • Slices to filter data, format rules to highlight status, and Show If to hide columns

  • Lab: an equipment inspection form with photos and the inspector's signature

Section 10: Actions and Automation Bots

  • Actions to change a job's status, jump to another view, or call and email from the app

  • How a bot is built from events, processes and tasks, including scheduled bots

  • Send emails or notifications and generate PDF files from templates automatically

  • AI tasks that read data from images or documents (where your plan supports it)

  • Lab: alert the supervisor about new repair jobs and issue a PDF work order on completion

Section 11: Users, Permissions and Security Filters

  • Require sign-in and choose which users or domains can open the app

  • Separate requester, technician and supervisor roles and limit adds, edits and deletes

  • Security filters so each person sees only the data that concerns them

  • Lab: test the app from the point of view of each role

Section 12: Deployment and Capstone Project

  • Deployment checks, installing the app on iOS and Android, and working offline

  • An overview of AppSheet licensing for creators and users in an organisation

  • Capstone: summarise a procedure manual into a checklist with NotebookLM, then build an inspection app with AppSheet

  • Present the work, review it together and plan how to roll it out
